2. Henkilötietojen käsittelyn tarkoitus
Pieksämäen kuvataideseura ry toteuttaa 60-vuotisjuhlavuotensa yhteydessä verkkokokonaisuuden, jonka tavoitteena on tallentaa, dokumentoida ja julkaista yhdistyksen historiaa.
Yhdistys kutsuu kiinnostuneita osallistumaan verkkokokonaisuuden toteuttamiseen kirjoittamalla blogitekstejä, osallistumalla haastatteluihin sekä toimittamalla yhdistyksen historiaan liittyvää aineistoa.
Henkilötietoja käsitellään historiikin, blogijulkaisujen, haastattelujen ja muun yhdistyksen historiaa esittelevän aineiston kokoamiseen, toimittamiseen, julkaisemiseen ja ylläpitämiseen.
3. Käsittelyn oikeusperuste
Henkilötietojen käsittely perustuu:
- rekisteröidyn suostumukseen silloin, kun henkilö toimittaa aineistoa, kirjoittaa blogitekstin tai osallistuu haastatteluun
- yhdistyksen oikeutettuun etuun silloin, kun julkaistaan yhdistyksen historiaan liittyviä tietoja, kuten toimihenkilöiden nimiä, tapahtumatietoja ja muuta yhdistyksen toiminnan dokumentoinnin kannalta perusteltua aineistoa.
4. Mitä aineistoa ja henkilötietoja kerätään
Verkkokokonaisuutta varten voidaan kerätä esimerkiksi:
- valokuvia
- lehtileikkeitä
- näyttelyluetteloita
- kutsuja
- asiakirjoja
- muuta yhdistyksen toimintaan liittyvää aineistoa
- blogikirjoituksia
- haastatteluja
- ääni- ja videotallenteita
- litteroituja haastatteluja.
Blogiteksteissä voidaan käsitellä esimerkiksi:
- omia kokemuksia seuran toiminnasta
- näyttelyitä, tapahtumia ja muuta toimintaa
- yksittäisiä teoksia tai taiteellista työskentelyä
- seuran merkitystä omassa elämässä tai Pieksämäen kulttuurielämässä.
Projektissa voidaan käsitellä esimerkiksi seuraavia henkilötietoja:
- nimi
- yhteystiedot, jos ne ovat tarpeen yhteydenpitoa varten
- blogitekstin tekijätiedot
- valokuvien yhteydessä julkaistavat tiedot
- haastattelijan ja haastateltavan nimet
- muut henkilön vapaaehtoisesti toimittamat yhdistyksen historiaan liittyvät tiedot.
5. Mihin aineistoa käytetään
Kerättyä aineistoa käytetään Pieksämäen kuvataideseuran historiikin laatimiseen ja julkaisemiseen yhdistyksen verkkosivuilla sekä mahdollisissa muissa yhdistyksen historiaa esittelevissä julkaisuissa.
Julkaistavan aineiston valinnasta ja toimituksellisesta käsittelystä vastaa Pieksämäen kuvataideseura ry.
6. Tekijänoikeudet
Aineiston tekijänoikeus säilyy aineiston tekijällä.
Toimittamalla aineistoa historiikkiprojektiin tekijä antaa Pieksämäen kuvataideseura ry:lle luvan käyttää aineistoa historiikin laatimisessa, julkaisemisessa ja ylläpitämisessä sekä mahdollisissa muissa yhdistyksen historiaa esittelevissä julkaisuissa, ellei toisin sovita.
Tekijä voi pyytää nimensä ilmoittamista tai jättämistä pois hyvän tavan ja tekijänoikeuslain mukaisesti, ellei toisin sovita.
7. Nimien julkaiseminen
Blogikirjoituksen tekijän nimi julkaistaan kirjoituksen yhteydessä, ellei toisin sovita.
Yhdistys voi julkaista historiikissa myös yhdistyksen toimihenkilöiden, luottamushenkilöiden, näyttelyihin osallistuneiden sekä muiden yhdistyksen historian kannalta merkityksellisten henkilöiden nimiä siltä osin kuin se on perusteltua yhdistyksen historian dokumentoimiseksi.
8. Valokuvien julkaiseminen
Valokuvia voidaan käyttää historiikin laatimisessa ja julkaisemisessa yhdistyksen verkkosivuilla sekä mahdollisissa muissa yhdistyksen historiaa esittelevissä julkaisuissa.
Aineiston toimittajaa pyydetään ilmoittamaan mahdollisuuksien mukaan valokuvan kuvaaja, kuvan ottamisajankohta, tapahtuma, paikka sekä kuvassa esiintyvien henkilöiden nimet. Mikäli aineiston toimittaja ei ole itse kuvan ottaja, häntä pyydetään varmistamaan, että valokuvan toimittamiseen ja julkaisemiseen on kuvaajan lupa sekä tarvittaessa kuvassa
esiintyvien henkilöiden suostumus tai muu henkilötietojen käsittelyyn oikeuttava peruste.
9. Haastattelut
Historiikkiprojektia varten voidaan kerätä haastatteluaineistoa. Haastatteluista voidaan tehdä ääni- tai videotallenne, joka litteroidaan historiikin laatimista varten. Haastattelussa käsitellään haastateltavan nimeä sekä muita haastattelun yhteydessä annettuja tietoja.
Haastatteluun osallistuminen on vapaaehtoista. Henkilötietojen käsittely perustuu haastateltavan suostumukseen. Ennen haastattelua pyydetään suostumus haastattelun tallentamiseen, litterointiin sekä haastattelun käyttämiseen osana Pieksämäen kuvataideseuran historiikkia.
Historiikissa voidaan julkaista haastattelijan ja haastateltavan nimet sekä haastattelusta laadittuja lainauksia tai tiivistelmiä, ellei toisin sovita.
10. Tietojen luovuttaminen
Henkilötietoja ja muuta historiikkiprojektia varten kerättyä aineistoa voidaan julkaista Pieksämäen kuvataideseuran verkkosivuilla, verkkohistoriikista laadittavassa PDF-versiossa sekä mahdollisissa muissa yhdistyksen historiaa esittelevissä julkaisuissa.
Henkilötietoja ei luovuteta ulkopuolisille tahoille, ellei se ole tarpeen verkkopalvelun teknisen toteutuksen tai ylläpidon vuoksi taikka lainsäädännön sitä edellyttäessä.
11. Henkilötietojen säilytysaika
Historiikkia varten kerättyä aineistoa säilytetään niin kauan kuin se on tarpeen historiikin laatimiseksi, julkaisemiseksi ja ylläpitämiseksi.
Osaksi julkaistua historiikkia sisältyvä aineisto voidaan säilyttää pysyvästi osana Pieksämäen kuvataideseuran historiallista arkistoa ja historiikkia.
12. Rekisteröidyn oikeudet
Rekisteröidyllä on voimassa olevan tietosuojalainsäädännön mukaisesti oikeus:
- saada tieto henkilötietojensa käsittelystä
- pyytää virheellisten tai puutteellisten henkilötietojen oikaisemista
- peruuttaa antamansa suostumus siltä osin kuin henkilötietojen käsittely perustuu suostumukseen
- pyytää henkilötietojensa poistamista silloin, kun siihen on tietosuojalainsäädännön mukainen peruste
- tehdä valitus tietosuojavaltuutetulle, jos hän katsoo henkilötietojaan käsiteltävän lainvastaisesti.
Koska historiikkiprojektin tarkoituksena on tallentaa ja säilyttää Pieksämäen kuvataideseuran historiaa, kaikkea julkaistua aineistoa ei välttämättä voida poistaa, jos henkilötietoja tai muuta aineistoa on jo julkaistu osana historiikkia ja niiden säilyttäminen perustuu yhdistyksen oikeutettuun etuun kulttuurihistoriallisen aineiston säilyttämisessä. Tällaiset pyynnöt käsitellään tapauskohtaisesti voimassa olevan tietosuojalainsäädännön mukaisesti.
13. Tietosuojaselosteen päivittäminen
Pieksämäen kuvataideseura ry voi päivittää tätä tietosuojaselostetta tarvittaessa esimerkiksi lainsäädännön muutosten tai projektin etenemisen vuoksi. Ajantasainen tietosuojaseloste julkaistaan yhdistyksen verkkosivuilla.

2. Purpose of the Processing of Personal Data
As part of its 60th anniversary celebrations, Pieksämäen Kuvataideseura ry (Pieksämäki Visual Arts Association) is creating an online history project with the aim of preserving, documenting, and publishing the association’s history.
The association invites interested individuals to participate in the project by writing blog posts, taking part in interviews, and contributing material related to the association’s history.
Personal data is processed for the purpose of compiling, editing, publishing, and maintaining the association’s history, blog publications, interviews, and other materials presenting the association’s historical activities.
3. Legal Basis for Processing
The processing of personal data is based on:
- the data subject’s consent when an individual submits material, writes a blog post, or participates in an interview;
- the association’s legitimate interest when publishing information relating to the association’s history, such as the names of officers, information about events, and other material reasonably required for documenting the association’s activities.
4. Material and Personal Data Collected
The following types of material may be collected for the online history project:
- photographs
- newspaper clippings
- exhibition catalogues
- invitations
- documents
- other material relating to the association’s activities
- blog posts
- interviews
- audio and video recordings
- interview transcripts
Blog posts may, for example, discuss:
- personal experiences of participating in the association’s activities
- exhibitions, events, and other activities
- individual artworks or artistic practice
- the significance of the association in the author’s own life or in the cultural life of Pieksämäki
The project may process the following personal data:
- name
- contact information where necessary for communication
- author information relating to blog posts
- information published in connection with photographs
- the names of interviewers and interviewees
- other information voluntarily provided by individuals concerning the association’s history
5. Use of the Material
The collected material will be used for preparing and publishing the history of Pieksämäen Kuvataideseura on the association’s website and in any other publications presenting the association’s history.
Pieksämäen Kuvataideseura ry is responsible for selecting the material to be published and for its editorial processing.
6. Copyright
Copyright in the submitted material remains with its creator.
By submitting material to the history project, the contributor grants Pieksämäen Kuvataideseura ry permission to use the material in compiling, publishing, and maintaining the association’s history, as well as in any other publications presenting the association’s history, unless otherwise agreed.
Unless otherwise agreed, the contributor may request that their name be acknowledged or omitted in accordance with good practice and the Finnish Copyright Act.
7. Publication of Names
The name of the author of a blog post will be published in connection with the post unless otherwise agreed.
The association may also publish, in its history project, the names of officers, persons holding positions of trust, exhibition participants, and other individuals of historical significance to the association where such publication is justified for documenting the association’s history.
8. Publication of Photographs
Photographs may be used in preparing and publishing the association’s history on the association’s website and in any other publications presenting the association’s history.
Contributors are requested, where possible, to provide the following information about each photograph:
- the photographer’s name,
- the date the photograph was taken,
- the event,
- the location, and
- the names of the persons appearing in the photograph.
If the contributor is not the photographer, they are requested to ensure that the photographer has granted permission for the submission and publication of the photograph and, where necessary, that the persons depicted have given their consent or that another lawful basis exists for processing their personal data.
9. Interviews
Interview material may be collected for the history project.
Interviews may be audio or video recorded and transcribed for the preparation of the association’s history.
The interview process includes the processing of the interviewee’s name and any other information provided during the interview.
Participation in interviews is entirely voluntary.
The processing of personal data is based on the interviewee’s consent.
Before the interview, the interviewee’s consent will be obtained for recording, transcription, and the use of the interview as part of the history of Pieksämäen Kuvataideseura.
Unless otherwise agreed, the published history may include the names of both the interviewer and the interviewee, together with quotations from or summaries of the interview.
10. Disclosure of Personal Data
Personal data and other material collected for the history project may be published on the website of Pieksämäen Kuvataideseura, in a PDF version of the online history, and in any other publications presenting the association’s history.
Personal data will not be disclosed to external parties unless this is necessary for the technical implementation or maintenance of the online service or is required by law.
11. Retention of Personal Data
Material collected for the history project will be retained for as long as necessary to prepare, publish, and maintain the association’s history.
Material incorporated into the published history may be retained permanently as part of the historical archive and official history of Pieksämäen Kuvataideseura.
12. Rights of the Data Subject
In accordance with applicable data protection legislation, the data subject has the right to:
- receive information about the processing of their personal data;
- request the correction of inaccurate or incomplete personal data;
- withdraw consent where processing is based on consent;
- request the erasure of personal data where there is a legal basis for doing so under applicable data protection legislation; and
- lodge a complaint with the Finnish Data Protection Ombudsman if they believe that their personal data is being processed unlawfully.
Because the purpose of the history project is to preserve and document the history of Pieksämäen Kuvataideseura, it may not be possible to remove all published material if personal data or other material has already been published as part of the association’s history and its continued retention is justified by the association’s legitimate interest in preserving cultural heritage.
Such requests will be assessed on a case-by-case basis in accordance with applicable data protection legislation.
13. Updates to the Privacy Notice
Pieksämäen Kuvataideseura ry may update this Privacy Notice where necessary, for example as a result of changes in legislation or the progress of the project.
The most recent version of the Privacy Notice will be published on the association’s website.
